What you need to know about staying at the Beechwood B & B
BEECHWOOD B&B East Sussex – Terms & Conditions
When you book your accommodation you enter into a legally binding contract to the conditions set out below. It is in your own interest to read them carefully.
BEECHWOOD B&B publishes a tariff every year. This is a guide to the price of a room by season but it is subject to change depending on the demand on any given day. Rooms are generally for a 2 night stay, a one night stay is subject to availability. As guests come for peace and quiet, we have an over 16 year old policy, unless by prior arrangement. All children must be accompanied by an adult at all times.
Full payment is required at the time of booking. A successful booking will be confirmed by an email from Beechwood B&B. Any supplementary charges (e.g. picnic lunch, laundry etc.) should be settled at the time of ordering. We cannot accept bookings from anyone under the age of 18 years old.
Payment may be made by cash, electronic transfer of funds or using your credit/debit card. Cheques and Diner cards are not accepted. Payment is taken as your agreement to the Terms & Conditions of booking appearing on this website, these are legally binding.
Beechwood B&B has a strict cancellation policy and we advise guests to take out adequate INSURANCE in case of any unforeseen circumstances resulting in last minute cancellations.
Your booking with Beechwood B&B is a legally binding contract any changes or cancellations to a booking must be made in writing by email. A booking can only be regarded as amended or cancelled upon receipt of our confirmation. Cancellations or amendments by phone cannot be guaranteed.
- More than 14 days notice – 100% refundable
- Less 14 days notice – 50% booking cost is refundable
- Less than 7 days notice – your booking is non refundable and non-transferable
Please be aware that due to the new PCI DSS regulations covering online credit card transactions we do not receive your card details if booked online. Your details are handled by World Pay our online payment provider. So you will need to telephone us with your card details for a refund to be issued. We will carry out security checks to ensure a fraud is not being committed. We reserve the right not to issue a refund at our discretion.
If it becomes necessary to cancel your booking we shall use reasonable endeavours to arrange alternative accommodation of a similar standard or we will provide a full refund. We reserve the right to alter rooms allocated if necessary. We are relieved of all liability should the B&B accommodation not be made available due to circumstances beyond our control (see ‘Force Majeure’) and the deposit will be refunded in full.
Arrival and Departure
Check-in is between 15.00 – 19.00. Please inform us by phone if you are arriving after 19.00pm so we can ensure that someone is here to welcome you. We are unable to accept check in after 21.00.
Guests are asked to vacate their rooms by 10.30 on the day of departure.
We have 3 dogs so unfortunately no other pets are allowed onsite.
Beechwood B&B is non-smoking in the house or grounds.
Guests are welcome to use the free wireless broadband service we provide, but we will not be held responsible for any loss of service or damage to guest computer data.
Group bookings are accepted entirely at our discretion.
Guests are jointly and severally liable for the cost of any damage caused by anyone or too anyone in their party during their stay at Beechwood or whilst in its grounds. All children must be supervised at all times. Use of our facilities are at the guests own risk and we shall not be held liable for personal injury. Care should be taken whilst walking in the garden we request the use of outdoor shoes that are then removed and left in our shoe trays before going back upstairs.
We will request your credit/debit card details on your arrival and these will be held for the duration of your stay in lieu of a ‘Damages Deposit’ (alternatively a cash deposit of £100.00 (per room) is required). Subject to no damage being caused to either property or possessions at Beechwood, and your full compliance with our Terms and Conditions, no money will be taken from your card and all record of the card details will be destroyed on your departure. However, any Guest causing damage to the property, including but not limited to Guest rooms, fixtures, furnishings, artwork, or linens, will result in a charge of 130% of fair replacement value or necessary cleaning. We reserve the right to ask any Guest (or party including that Guest) to leave the premises without refund or compensation if any damage is deemed to have been caused deliberately.
We cannot accept liability for any damage, expense, injury, death, or loss of any nature whatsoever suffered by any person(s) from any cause whatsoever other than the proven negligence of ourselves or our employees. This clause does not attempt to exclude negligence or breach of statutory duty.
The maximum occupancy of the accommodation booked is two adults and is only available to pre-paid Guests. Any invitation given to unauthorised additional overnight visitors will result in the Guest’s credit card being charged with the equivalent cost of accommodating the additional Guest(s) in separate room(s) at the prevailing tariff.
Subject to the owner’s discretion, Beechwood reserves the right to refuse check-in, or ask guests to leave without refund or explanation if guests are found to act inappropriately e.g. if you are drunk or acting in a way that causes a nuisance, disturbance, puts others at risk, rude or threatening behaviour to staff or guests.
The cost of replacing keys lost by Guests is charged at £20 each.
Guests should take adequate precautions for their own vehicles and belongings at Beechwood B&B as we can not be held responsible. Valuable items can be locked away upon request. Items that we understand to be of value left behind by guests will be kept in storage for no longer than 1 month, to then be disposed of as we see fit. We are happy to return items back to guests; this will be subject to a £5 + postage fee via Royal Mail.
Guests are not permitted to set up temporary cooking or barbecue facilities in the accommodation or grounds.
You may park and drop off your luggage at the front door of the house.
Your vehicles and their accessories and contents are left entirely at your risk. We will not be responsible for any loss from or damage to any vehicle from any cause whatsoever, other than the negligence of ourselves or our employees.
Beechwood is committed to protecting your privacy as a use of our website and the confidentiality of any personal and transactional information is protected to the highest standards. Any personal information which you provide to us or which is available to us from which we can identify you is held in accordance with the Data Protection Act 1998 and will be used only for the following purposes:
- Processing and amending your booking via our Free2Book booking system
- To supply web content to you
- To administer this website
- To take online payment via our booking provider Free2Book
- To notify you by email of products and services that may be of interest to you. You have the right to opt out of these.
- To notify the police/authorities in the event of any suspicious activity

The cookies stored on your computer or other device when you access our websites are designed by:
– Beechwood and are necessary to enable you to a make booking on our website;
– third parties who participate with us in marketing programmes; and
– third parties who broadcast web banner advertisements on behalf of Beechwood.
What are cookies used for?
The main purposes for which cookies are used are: –
1. For technical purposes essential to effective operation of our websites, particularly in relation to on-line transactions and site navigation.
2. For Beechwood to market to you, particularly web banner advertisements and targeted updates.
3. To enable Beechwood to collect information about your browsing and shopping patterns, including to monitor the success of campaigns, competitions etc.
4. To enable Beechwood to meet its contractual obligations to make payments to third parties when a product is purchased by someone who has visited our website from a site operated by those parties.
How do I disable cookies?

What happens if I disable cookies?
This depends on which cookies you disable, but in general the website may not operate properly if cookies are switched off. If you only disable third party cookies, you will not be prevented from making a booking on our website. If you disable all cookies, you will be unable to complete a booking on our website.
When someone visits www.beechwoodbandb.co.uk we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.
As part of the registration process for our monthly e-newsletter, we collect personal information. We use that information for a couple of reasons: to tell you about offers, discounts and news from Beechwood that you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organisations and businesses.
We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time by clicking the unsubscribe link at the bottom of any of our emails or by emailing us.
We only keep your personal details to be able to to process your booking; to do this we need to know your name, e-mail address and billing address. Authorised employees within the company, on a need to know basis only, will use any information collected from individual customers.
No credit card details are stored or managed by Beechwood, when paying for your booking you do this via the Free2Book interface which handles all the credit card information in conjunction with your bank.

Changes to this Privacy Notice
From time to time we make changes to this privacy notice. This policy was last updated in August 2018.
We regret we cannot accept responsibility or pay any compensation where the performance or prompt performance of our contract with you is prevented or affected by reason of circumstances which amount to “force majeure”. Circumstances amounting to “force majeure’ include any event which we could not, even with all due care foresee or avoid. Such circumstances include the destruction or damage of our property (which cannot reasonably be remedied to a satisfactory standard before the start of your stay); through fire, flood, explosion, storm or other weather damage, break-in, criminal damage or any similar event. Such circumstances also include but are not limited to failure of supplies of water, power, transport, equipment or other deliverables or services, restrictions imposed by government or local authority, riots or civil strife, industrial action, natural or nuclear disaster, adverse weather conditions, war or threat of war, actual or threatened terrorist activity and all similar situations beyond our control.
You must notify us immediately of any shortcomings with your Accommodation, so that remedial action, if appropriate, can be taken. We cannot accept any liability in relation to any shortcomings or claims of whatever nature if you fail to notify us of any complaint or claim during your stay.
